Refunds

Issuing a refund and what happens to the student's access.

On this page

From the Orders page, an owner can refund a paid order — the actual process depends on the payment method:

  • Stripe Connect: the platform calls Stripe directly to actually return the money. You just click "Refund" and confirm. (Subscription courses are the exception: refund the payment in your Stripe dashboard, then use "Mark as refunded manually" — Teachvix then cancels the student's Stripe subscription so they aren't charged again.)
  • Every other payment method (PayPal, toyyibPay, senangPay, the Taiwan gateways, HitPay, Airwallex, QFPay, manual bank transfer): Teachvix can't automatically refund through these — you first refund the buyer yourself (in that gateway's own dashboard, or by transferring the money back yourself for manual transfer), then come back to Teachvix and click "Mark as refunded manually" to confirm. That step doesn't move any money — it only records the refund and revokes course access.

Either way, confirming automatically revokes the student's access to every course that order paid for — a refund can't leave the buyer with free ongoing access — and the student receives a refund confirmation email automatically. Refunding is owner-only, the same as other money-related actions.

What happens to the student

  • Access: removed, unless the student also bought the same course in another order that's still paid (for example, a duplicate purchase). Then they keep access for as long as that other order covers. Access you granted the same student manually for that course is removed too — re-grant it from the Students page if needed.
  • Certificate: a completion certificate for that course is voided.
  • Cohort seat: freed up for someone else.
  • Buying again: a refunded student can purchase the course again at any time.

Refunds and disputes made in Stripe

If you refund a Stripe Connect payment in full directly in your Stripe dashboard, Teachvix picks it up automatically and handles it exactly like the Refund button above. A partial refund or a payment dispute (chargeback) only shows up as a notification in your dashboard — access doesn't change, since a partial refund is your call and a dispute can still be won. Stripe also emails you about every dispute and its response deadline.

If the order came through an affiliate referral, its commission stops counting toward that affiliate's total once the order is refunded.

What else changes after a refund

  • Email automations: any automation this student started by buying the course stops, so they won't keep getting the "welcome to the course" sequence.
  • Outbound webhooks: if you subscribe to the order.refunded event, your endpoint receives the refund (order number, amount, courses, buyer email).

When a cohort gets overbooked

A cohort's seat cap is checked at checkout. If two buyers race for the last seat (especially with a slow payment method such as manual transfer), both can end up paying. A student who has paid is always enrolled, and your dashboard notification bell tells you the cohort is over its cap, so you can raise the cap or refund one of them.
