Email broadcasts: send one email to a group of students

Write an email, pick who gets it, confirm the count and quota, then send — plus drafts, unsubscribes and quota rules.

On this page

Go to Email → Email broadcasts to write one email and send it to a group of students. Instructors with the Marketing permission can use it too (see Team & permissions).

Writing it and choosing recipients

  • Subject and content: the body uses the rich text editor — headings, bold and links all work.
  • There are three recipient groups:

- All students: everyone enrolled at your school.

- Students of a course: pick one course to email its students (refunded or removed enrollments don't count).

- Lead magnet leads: people who claimed a free resource (lead magnets) and haven't bought any course yet.

Unsubscribes

Only people who still accept marketing email receive it — anyone who unsubscribed is left out automatically. Every broadcast ends with an unsubscribe link; once a student clicks it, they stop receiving your broadcasts.

Confirm before sending

"Send…" opens a confirmation showing how many students will receive it, how much email quota it uses, and how much is left this month. A sent email can't be recalled.

Quota

Each recipient uses 1 email of quota (rules in Monthly email quota). A broadcast is all-or-nothing: if this month's remaining quota can't cover the whole list, the email is not sent at all — it never goes out half-way. Narrow the recipient group, or wait for next month's reset. If a few individual sends fail, only the emails actually sent are counted.

If nobody on the list can receive it (for example, everyone unsubscribed), nothing is sent and you're told why.

Drafts and history

  • Press "Save draft" while you're still writing, then continue or delete it later from the drafts list below.
  • A draft that was already sent from another tab isn't sent a second time.
  • "Send history" lists when each email went out and to how many people.
  • An address that has bounced (the mailbox doesn't exist) or marked a past email as spam is skipped automatically: it isn't mailed, isn't counted as a failure and doesn't use your email quota. The result message says how many were skipped.
  • Every broadcast has an unsubscribe link at the bottom; a student who uses it stops receiving your broadcasts and automation emails.

Broadcasts are one-off emails. To send a series automatically based on what students do, see Email automation.

Variables, preview and test emails

  • Insert variable: the subject and body can include a student's details. Use the "Insert variable" menu above the editor: {name} (the student's name, with a friendly default such as "there" when none is on file), {schoolName}, and {courseTitle} (only when the audience is the students of one course). Each recipient gets the email filled in with their own details.
  • Preview: shows the email as students will see it (school logo and footer included), with your own name standing in for the student's.
  • Send me a test: goes only to the address you are signed in with, has no unsubscribe link and doesn't use your email quota. There is an hourly limit.
  • If the email uses a variable its audience can't fill (for example {courseTitle} in a message to all students), saving and sending are both blocked with a message, so a raw {courseTitle} is never sent.
