Co-instructors, team invites, and instructor earnings

Assigning revenue share, inviting a brand-new instructor, and what instructors can see about their own earnings.

Assigning a co-instructor

On a course's "Instructors" tab, assign someone as a co-instructor and set their revenue share percentage. The person must already hold an owner or instructor role at your school to be assignable here. Only you, as the owner, can add, remove, or change a co-instructor's share — this is a financial setting, separate from the course-management access described below, and staying owner-only regardless of what access an instructor otherwise has.

Deleting a course entirely is also owner-only, for the same reason: it's an irreversible, account-wide action, not a day-to-day content edit.

Inviting a brand-new instructor

Your plan includes a limited number of team seats (you as owner, plus instructors): 1 on Basic (just you), 2 on Growth, 5 on Pro. A pending invite reserves a seat immediately, not just once it's accepted; once it expires (after 7 days) without being accepted, it stops holding the seat. Once you're at your limit, sending a new invite is blocked until you upgrade or remove someone. Downgrading to a plan with fewer seats than your current team size is also blocked — remove team members or revoke pending invites until you're back at or under the new plan's limit before the downgrade can go through.

Go to Settings → Team and enter the person's email to send them an invite (valid for 7 days). They'll get an email with a link to accept:

  • If they don't have an account yet, they set a password and are added as an instructor immediately.
  • If they already have an account, they just log in (or confirm they're logged in as the right account) and accept.

Each team member and pending invite has a ⋯ menu at the end of its row, where you can resend or revoke the invite, edit permissions, or remove the member. If an instructor still has courses assigned, removing them first opens a handoff window: pick who takes over each course and set the revenue share before the removal goes through.

Pending invites show who sent them. If a member's access shows "No access", that instructor has no areas selected; use "Edit permissions" in the ⋯ menu to add them.

Setting what each instructor can access

When you invite someone, choose which of 4 areas they can access: Courses (course content, curriculum, cohorts, consultations), Marketing (posts, coupons, bundles, automations, group buy), Students & community (student records, community, event check-in), and Orders (order history — refunds stay owner-only regardless). Leave all 4 checked for an instructor who should have the same full access as before; uncheck any they shouldn't need.

The Marketing permission also covers website customer service: an instructor who has it can read visitor chats and reply under Support → Chats, and switch on "I'm online" to take live conversations; the customer-service settings (switches, AI, knowledge base, usage) can only be changed by the site owner.

An instructor without a given area doesn't just have its buttons disabled — the page itself, its sidebar links, and any related dashboard-home stats (like revenue figures, for someone without Orders access) are hidden from them entirely; opening that page's URL directly shows "You don't have access to this page" instead. A few easy-to-miss places follow the same rule:

  • The Analytics page shows revenue and top customers' emails, so it needs Orders access — and an instructor's figures cover only the order lines of the courses they're assigned to; the owner sees the whole school.
  • A student's detail page needs Students & community access, but the order history on it additionally needs Orders access.
  • Quick search (Cmd+K) only finds the courses, students and orders this instructor has access to.
  • The notification bell only shows notifications this instructor has access to (new orders need Orders access); account-deletion requests and plan billing notices are owner-only. Opening the bell only marks the notifications they can see as read.

Restricting Courses access to specific courses

For the Courses area specifically, you can go further than an on/off switch: choose "Specific courses" instead of "All courses" and pick exactly which ones this instructor can manage. Any course you don't select is completely invisible to them — it doesn't show up in their course list, and opening it directly by its URL shows "You don't have access to this page".

That includes the student-side lesson pages: an instructor can only preview courses they manage for free (without drip or quiz-score locks, and with downloads left unwatermarked). Every other course — and every course, for an instructor without Courses access — needs to be purchased like any student.

This only narrows Courses access. Marketing, Students & community, and Orders stay whole-school even for an instructor restricted to specific courses — a promotional bundle, an event's attendee list, or an order can span more than one course, so scoping them per-course wouldn't make sense. If you also want to keep an instructor away from students or orders outside their courses, uncheck those areas entirely rather than expecting the course list to filter them.

A newly created course is automatically added to its creator's own course list when they're restricted to specific courses — so an instructor scoped this way can still start a new course and immediately keep working on it, without needing you to go grant it to them separately.

You can change someone's access later with "Edit permissions" in the ⋯ menu at the end of their row on the Team page — this doesn't affect their existing course assignments or revenue share, only which parts of the dashboard they can reach. Billing, Settings, Team, Developer API, and Webhooks always stay owner-only, no matter which of the 4 areas an instructor has. When an instructor reaches a feature that needs a higher plan, they see "Ask the school owner to upgrade the plan." instead of a button to Billing.

What instructors see about their own earnings

Each instructor gets their own "My Earnings" page showing only the courses they're assigned to, calculated per order line — so if a student's cart contained several courses and this instructor is only assigned to one of them, their earnings only reflect that one item, not the whole order. The page can switch between the last 7, 30 or 90 days, with each day following the school's time zone, and its figures are always the instructor's own share — never the school's total income. The Orders page is similarly scoped for instructors: they only see orders that include at least one of their own courses, never the school's full order list (that full view stays owner-only).

Revenue share on discounted orders

An instructor's earnings are based on what the student actually paid. For example, a RM1000 course sold with a 50% coupon counts as RM500, so a 30% share is RM150. When a cart holds several courses, the order's discount is split across them in proportion to their prices. Shipping fees are never shared.
